What does AI automation usually cost on the market?
Individual automation workflows typically cost 300 to 1,500 € on the market, complete automation projects 1,500 to 12,000 €. Many agencies only start at 2,500 to 5,000 € and reveal prices only in a sales call. At routinefrei, entry starts at a 990 € fixed price, monthly support at 25.99 €. Every price is on this page.
These ranges are no accident: the more workflows, integrations and special requests a project contains, the more expensive it gets. That is why we deliberately keep the entry point small. The pilot automation automates exactly one workflow at a fixed price, so you can see from a real example what automation delivers in your business before you invest more.
How to compare quotes
Six questions you should ask every provider, ourselves included. The answers separate serious quotes from expensive surprises.
Is the price fixed before the call?
A fixed price with a clearly described scope can be compared. “On request” often means: the price depends on your budget.
Are ongoing costs a separate line item?
API usage, telephony and hosting cost money on an ongoing basis. Serious quotes list these items separately instead of hiding them in the calculation.
Who owns the workflows in the end?
Our core is open source (n8n), the workflows belong to you. Ask every provider whether you can take everything with you when you switch, or have to buy it again.
Is there a DPA before going live?
If personal data is processed on your behalf, a data processing agreement under Art. 28 GDPR belongs before the start, not on the wish list.
Who helps after go-live?
An automation without support eventually fails quietly. Clarify who monitors the workflows, how fast they respond and what that costs.
Will your team be trained?
Training and documentation are part of the project. Otherwise operations depend on a single person, and that person works for the provider.
Honestly: for a single simple workflow, an off-the-shelf tool is sometimes enough. It only gets expensive when several tools refuse to work together and nobody keeps track. That is exactly where our packages come in.
Questions about our prices
Why are there real prices here instead of “on request”?
Because you can only compare quotes when the numbers are on the table. Many providers show no prices at all, or only a starting price, and you learn the full package price only in a sales call. Our view: whoever promises a fixed price can also write it down. The initial consultation is then about which package fits, not about negotiating the price.
Are the fixed prices really fixed, or do surcharges come later?
The fixed price covers the scope agreed in writing beforehand, for example one workflow with up to two integrations in the pilot automation. If you want more along the way, you receive a separate quote for it in advance, never a silent extra charge. Ongoing API and phone costs are not surcharges; they appear as a separate line item in the quote from the start.
Which costs come on top of the package prices in day-to-day operation?
Only the actual usage costs of the connected services, such as API usage or telephony. We list these items transparently as a separate position, nothing is hidden in the calculation. In addition, we recommend automation operations from 290 € per month after every project, so the workflows stay monitored and maintained. All prices are net, plus statutory VAT.
Why is the 990 € entry point so much cheaper than typical project prices?
Because the scope is deliberately small and clearly limited: the ready-made time management + email system package plus one workflow of your choice with up to two integrations, standardised setup in 14 days. On the market, automation projects usually cost 1,500 to 12,000 €, because several workflows are typically built at once. The pilot automation is the test run on one real workflow.
